Email Signature Standards
All Global Trust Bank employees are required to use a standardised email signature on all external and internal correspondence. Consistent email signatures reinforce the Bank's brand identity, ensure compliance with regulatory requirements, and provide recipients with the correct contact information.
Required Signature Format
The following format must be used by all staff. Fields marked with an asterisk (*) are mandatory:
- Full Name* — As recorded in the HR system (e.g., Sarah J. Mitchell)
- Job Title* — Official title as per your employment contract
- Department* — Your department name
- Entity Name* — The legal entity you are employed by (e.g., Global Trust Bank Plc)
- Direct Telephone* — Your direct dial number in international format (e.g., +44 20 7946 1234)
- Mobile Telephone — Optional; include only if you wish to be contacted on mobile
- Email Address* — Your corporate email address
- Office Address* — Your primary office address (one line)

Regulatory Disclaimer
All email signatures must include the appropriate regulatory disclaimer for the legal entity under which the employee operates. The disclaimers are as follows:

Setting Up Your Signature
Email signatures are automatically deployed to all Outlook clients via the IT-managed signature system, Exclaimer. Your signature is generated from data held in the HR system (Workday) and the Active Directory. To update your signature:
- Verify your details are correct in Workday Self-Service > Personal Information.
- Changes to job title, department, or contact number will be reflected in your email signature within 24 hours.
- If your signature does not update automatically, raise a ticket with the IT Service Desk (extension 7000 or it.servicedesk@globaltrust.com).
Prohibited Elements
The following elements must not be included in email signatures:
- Personal quotes, mottos, or inspirational messages
- Non-GTB logos or images (e.g., personal social media icons)
- Animated GIFs or embedded videos
- Non-standard fonts or colours
- Environmental disclaimers (e.g., "Please consider the environment before printing")
- Pronouns (under review — a policy update is expected in Q2 2026)
