Time Tracking and Attendance Recording
Time Tracking and Attendance Recording
Accurate time tracking and attendance recording are essential for compliance with working time regulations, payroll accuracy, and workforce planning. All employees are required to record their working hours in accordance with this policy.
Standard Working Hours
| Employee Category | Standard Hours | Core Hours |
|---|---|---|
| Full-time (Grades 1–6) | 37.5 hours per week | 10:00–16:00 |
| Full-time (Grades 7+) | 37.5 hours per week (indicative; senior roles may vary) | 10:00–16:00 |
| Part-time | As per individual contract | As agreed with line manager |
| Trading floor | As per shift pattern (typically 07:00–18:00) | Market hours |
The standard working day is 7.5 hours, exclusive of a minimum 30-minute unpaid lunch break. Employees on flexible start/finish arrangements may vary their hours around the core hours window of 10:00–16:00.
How to Record Attendance
Office-Based Employees
Attendance is recorded automatically through the building access badge system when you tap in and out at the turnstiles. Ensure you tap your badge on both entry and exit. If you forget your badge, sign in at Reception and notify Facilities at facilities@globalbank.com to update the record.
Remote Working Days
On days when you are working from home, you must log your hours in Workday under Time > Enter Time. Record your start time, end time, and any breaks taken. Remote working hours should be entered by the end of each working day.
Client Site or Travel Days
If you are working at a client site or travelling for business, record your hours in Workday as you would for a remote working day. Travel time during normal working hours counts as working time; travel outside normal hours does not, unless you are actively working during the journey.
Overtime
Global Bank's expectation is that employees complete their work within standard hours. However, when overtime is necessary:
- Grades 1–4: Overtime must be pre-approved by the line manager. Overtime is compensated at 1.25x the normal hourly rate for weekday hours and 1.5x for weekend and public holiday hours. Alternatively, time off in lieu (TOIL) may be taken by agreement.
- Grades 5–6: Overtime is not typically paid but TOIL may be agreed with the line manager for significant additional hours.
- Grades 7+: Overtime is not paid. Senior employees are expected to manage their own time effectively.
Overtime hours must be recorded in Workday and approved by the line manager before the monthly payroll cut-off (the 15th of each month).
Absence Recording
All absences — including annual leave, sick leave, parental leave, and any other time off — must be recorded in Workday. Line managers are responsible for ensuring their team's absence records are accurate and up to date.
Working Time Regulations Compliance
In accordance with applicable working time regulations, Global Bank monitors working hours to ensure:
- Employees do not exceed an average of 48 hours per week (calculated over a 17-week reference period) unless they have signed an opt-out agreement.
- Employees receive a minimum 11-hour rest period between working days.
- Employees receive at least one uninterrupted 24-hour rest period per week.
Employees who wish to opt out of the 48-hour weekly limit may do so by completing the Working Time Opt-Out form in Workday. This opt-out is voluntary and can be revoked with 3 months' written notice.
Payroll Cut-Off
All time entries for the current month must be submitted and approved in Workday by the 15th of each month. Late submissions may result in overtime payments being delayed to the following pay cycle.
